Sales & Catering Coordinator

We are looking for a full time Sales & Catering Coordinator at the Residence Inn by Marriott Vancouver Downtown, Vancouver, BC.

Salary: $48,000 – $55,000 per year plus bonus

Duties & Responsibilities:

  • Manage inquiries for the sales department regarding servicing customers, marketing, and promotional opportunities, and account qualifying
  • Prepare sales-related documents throughout the sales process accurately and thoroughly (e.g. proposals, contracts, banquet event orders and group invoice) and follow up regarding the rooming list and payment updates.
  • Coordinate meeting room booking procedures, conduct site inspections, track payments, and compile and analyze reports
  • Enter, retrieve, reconcile, and verify information (e.g., commissions, leads, third parties) in database and compile/analyze sales reports
  • Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests.
  • Interact with guests to obtain feedback on product quality and service levels; able to respond to and handle guest problems and complaints.
  • Use sales techniques that maximize revenue while maintaining existing guest loyalty.
  • Ensures customer concerns are addressed in a timely and professional manner.
  • Preparation of Amenity, Gift Certificate requests and forward correspondence
  • Promotes and encourages inter-departmental cooperation and communication to ensure overall guest satisfaction is at an optimum.
  • Assist with monthly BT and group analysis and production reports
  • Assist in information gathering and supporting documents for regular reporting, annual Sales Budget & Marketing plan
  • Review and update the content on the Marriott website, and third party partner pages
  • Assist the Director, Sales & Marketing in the coordination of the marketing efforts of the hotel pertaining to Field Marketing, Advertising, Social Media, Traditional Media, and Community Engagement
  • Administer CI/TY Marriott lead catcher system and act as back up for vacations to the Director, Sales & Marketing.
  • Assist with site inspections
  • Attend and assist hotel functions when needed
  • Other related duties as assigned.

Qualifications:

  • Degree in hospitality sales/marketing preferred
  • Minimum 1-2 years Hotel experience preferred
  • Proficiency in English grammar and composition with ability to read, listen and communicate effectively in English, both verbally and in writing.
  • Ability to utilize catering and sales software Amadeus and CI/TY will be an asset
  • Able to multi-task, meet timelines and prioritize in a fast-paced environment
  • Computer skills including: Microsoft Word, Excel, FOSSE, Delphi and/or related catering/sales program
  • Ability to professionally and positively engage with clients and guests over phone and email to delivery exceptional service and implement service recovery skills
  • High level of attention to detail
  • Strong computer and skills
  • Proven interpersonal and organizational skills.
