Professional meeting and event planners, especially those like me that have gone through the Certified Meeting Planner program, know that the most important part in planning and preparation of a meeting is setting a focused objective that benefits the organization and the attendees.
Meeting planning should therefore be more than organizing a series of information items, selecting venues and food, determining and tracking down A/V equipment and establishing a complex budget and keeping track of it.
So you would think that a planner would spend most of their time on defining the goal of the meeting and then build and present meaningful content.
So why is it then that when we actually count the time spent on the different planning activities, searching for functional meeting space, pouring over pages and pages of banquet menus and A/V lists and ensuring that all these line items fall within the budget take most of our time? What about that objective and content? Sorry…I have to look at that break-menu again and figure out how much coffee I need to order for 20 people!
But then something wonderful happened: The Conference Centre Concept emerged. An all-inclusive approach designed to let meeting planners take care of business instead of stressing over budgets and spending hours on the thankless task of trying to choose a menu that will make all people happy.
Think how great an all- inclusive resort feels…Now planning meetings can be this easy, relaxing and cost-effective. Everything is included for one price per person. This completely eliminates the time-consuming budgeting process!
And by using awesome new concepts like the SilverBirch Hotels & Resorts Connections Café® your attendees can even drink and eat all they can, and they are not even on a vacation!
What does a real all-inclusive conference centre meeting package include?
1) Dedicated Meeting Room: Ergonomically designed, distraction-free and sound proof
2) All Day Refreshments: Think “All Day Breakfast-Snacks Bar”
3) Buffet Lunch
4) Industry Leading Audio/Visual Equipment
5) Wireless and Hardwired High Speed Internet
6) Designated Conference Planner
7) All Service Charges
If you don’t believe the cost advantage (I was a skeptic too!), I suggest doing a one-time comparison. In most cases you will find that the savings of booking an all-inclusive conference centre package versus a-la-carte pricing equal the total cost of lunch. And who doesn’t like a free lunch?
So go ahead…enjoy your all-inclusive vacation…I mean, MEETING!
